Product Update

This Product Update provides a summary of changes and enhancements to the existing application that impact all customers. When applicable, it includes changes to functionality that were made to resolve customer-specific issues and that apply to all Tenovos users. Product Updates occur frequently and are separate from Release Notes.

Impersonation​

Tenovos introduces the ability to impersonate other user accounts. This feature is available to customers participating in the Beta release of this feature and will be available to all customers in the next few weeks, or sooner.

Administrative users with both the User Management role privilege and the Impersonate User role privilege can impersonate users who share the same administrative-type privileges as themselves and have the same or fewer privileges, but not more. This prevents users from impersonating another account that could then be used to elevate their own account privileges.

Upon impersonating another user, you will be immediately logged out of your current session and logged in automatically as the other user. UI updates make it clear that you are impersonating another user account. When you stop impersonating, your session will immediately end, and you will be automatically logged back in as yourself.

You will receive an error message if you attempt to impersonate an account that has never logged into Tenovos before, even if the account is “enabled.”

Both local and federated accounts can be impersonated.

This feature is available from the Admin > Security > Users management screen.

PROFILE PAGE IN USER PREFERENCES​

This feature is available to customers participating in the Beta release of this feature and will be available to all customers in the next few weeks, or sooner.

In User Preferences, a new Profile page has been added that allows users with the User Preferences privilege to view and edit their user account information, such as first name, last name, email, and other contact information.

This page also allows users to upload an avatar image that will be display instead of their initials in the top right corner of all pages.

Local users can also change their password from this page.

Help Documentation​

INTEGRATED HELP AND PRODUCT UPDATES​

This feature is available to customers participating in the Beta release of this feature and will be available to all customers in the next few weeks, or sooner.

From the user avatar menu (where you also access Admin and User Preferences), a new “Help” option has been added. Accessing the help page from this menu opens a full-page experience for help documentation where you also have access to Product Updates, Release Notes, Communication Plan information, and other resources.

From pages within Tenovos that are specific to certain features, such as the upload screen, storyboards, collections, etc., a help link has been added to those pages that opens the relevant help documentation on the right side of the page. Help information is accessible without leaving the page you needed assistance with.

Whether accessing help from a specific page or from the user avatar menu, the help documentation is context aware and will navigate you automatically to the most relevant article, if one is available.

We will continue to add additional help information for areas where guides are currently unavailable.

NOTE: Updates to the help documentation will be made in real time as new materials become available and do not require an engineering deployment.

API Updates​

A new API endpoint, ‘/proofing/user’, is available for creating new proofing users. This new endpoint allows for the creation of proofing users, in accordance with your Proofing licensing limits.

The Targeted Search feature is now out of Beta and available for all customers who wish to enable it. Please contact your Tenovos Customer Success representative or submit a support ticket to request that this feature be enabled for you.

The drop-down menu at the end of the search bar allows you to target search against specific data, such as:

  • Everything: Everything is the default and searches against everything just as a normal search would.
  • Asset ID: This use case comes from asset IDs of linked assets being added to the metadata of INDD assets. Searching on an Asset ID could result in multiple assets being returned since IDs of linked assets are added to the embedded metadata of an INDD file. Being able to match the ID (search term) strictly against Asset ID ensures a single match when searching with Targeted Search.
  • File Name: Currently, users have no way of targeting their search term to match directly/partially what exists within a filename. Targeting by File Name now gives the users the ability to perform exact/partial match searches against file names. The use of wildcards is not necessary when using the File Name targeted search.
  • Metadata: Everything included in the asset metadata (this will exclude all technical metadata). This allows users to perform searches against only their provisioned metadata without the search results being affected by assets with matches to asset contents and technical metadata.
  • Content: Allows users to target their search specifically against the text extracted from assets (applied to documents only).

Other Enhancements & Quality Improvements​

- Applied an update that was preventing users with the “PDF Preview” permission but not the “Download” permission from being able to view entire documents on the details page.

- Resolved an issue where subtractive searches, i.e., ‘-kraeton’ were not working as expected. The minus (-) symbol should be added before the search term, even when applied to an attribute specific search.

- Applied an update that restricts additional file mime types from being uploaded into the system. This is a security enhancement.
