Version assets

Asset versioning allows you to track updates, maintain accurate metadata, and preserve a history of changes. The latest version of an asset is available in the Content gallery, while previous versions are stored in its version hisotry within Asset Details.

Users can view and download specific versions from the Asset Details page. In addition to viewing the current version, you can create new versions, access the version history, download or delete versions, and promote a previous version to the latest. Each version includes editable metadata.

When modifying an asset, you can upload a new version and designate it as the latest. Only the most recent version is shown in the Content gallery, while earlier versions are accessible via the version history in Asset Details, All versions, except those deleted and moved to the Recycle Bin, can be promoted to the latest version.

Create an asset version

When working with an existing asset, you can create a new version by uploading it to Tenovos and designating it as the latest version. The Create Version option is available in an asset's context menu in the Content gallery, Search results, and the Cart. In Asset Details, the Create Version option is available when viewing the latest version of an asset.

To create an asset version:

1. Open the asset's context menu and select Create Version.
   Or open its Asset Details screen and click Create Version. In Asset Details, this option is available only when viewing the latest version of an asset.
2. Choose the new version file to upload. This file will become the new latest version of the asset.
3. Choose a security template, metadata template, and provide the information required by the templates. By default, the Asset Details fields are populated by the templates and metadata for the current version.
4. Click Upload Asset Version. The new version becomes the latest version, the version history number increases by one, and the previous version is preserved in the asset's version history.

View asset versions

The Content gallery and Asset Details display the latest version of an asset. Previous versions, if any, are available from the Versions menu in Asset Details.

To view an asset version:

1. Locate the asset and open its Asset Details screen.
2. Above the asset preview, open the Versions menu.
   Previous asset versions are listed in chronological order.
3. Click an asset version to view it.

Download an asset version

You can access and download previous versions of an asset from its Asset Details screen.

To download an asset version:

1. Locate the asset and open its Asset Details screen.
2. Above the asset preview, open the Versions menu.
   Previous asset versions are listed in chronological order.
3. Click an asset version to view it, then click Download.
4. Select a download location then click Save.

Delete an asset version

You can delete individual asset versions if you no longer need them. Deleted versions are moved to the Recycle Bin where they can be restored by administrators. Be cautious when deleting the latest version of an asset, as doing so will also remove all previous versions from the Content gallery.

To delete an asset version:

1. Locate the asset and open its Asset Details screen.
2. Above the asset preview, open the Versions menu.
   Previous versions are listed in chronological order.
3. Click an asset version to view it, then click Delete.
   The asset is moved to the Recycle Bin. Users with administrative privileges can restore it. CAUTION: Deleting the latest asset version will remove the asset and all previous versions from the Content gallery.

Edit the metadata of an asset version

In Asset Details, you can edit the metadata of the current asset version by clicking Edit Metadata, or modify it while promoting a previous asset version to latest.

Promote an asset version to Latest Version

You can promote any asset version (except those deleted and moved to the Reycle Bin) to be the latest version. The selected version is duplicated to preserve version history, and the duplicate is set as the latest verision.

To promote an asset version:

1. Locate the asset and open its Asset Details screen.
2. Above the asset preview, open the Versions menu.
   Previous asset versions are listed in chronological order.
3. Select the asset version you want to promote.
4. Click Promote Version. The Edit Metadata dialog opens.
5. Modify the templates and metadata, as needed.
   By default, the fields are populated by the metadata of the selected asset version.
6. Click Continue. The selected version is dupliacted and set as the asset's latest version.
