Sharing in Tenovos

You can share assets internally, externally, or by embedding them in a website. Assets can be shared from various locations, including the Content gallery, Collections, Searches, the Cart, and Asset Details. Internal users have the necessary credentials to access Tenovos, while external users do not have the login access.

Share assets

Assets can be shared from the Content gallery, Collections, Searches, the Cart, and Asset Details. Sharing a single asset gives you the option to embed a rendition into a website. Tenovos generates the HTML code necessary to embed the asset.

You can share assets internally, externally, or embedded into a website with HTML.

Share assets internally

In the Share Asset dialog, use Internal Share to share assets with internal users. You can either use the built-in email option to send the assets, or share the link through other channels, such as your organization's messaging app. The email will include a link to the shared assets in Tenovos and your name as the sender.

To share one or more assets internally:

  1. Select the assets. Choose one or more assets from the Content gallery, Collections, Searches, the Cart, and Asset Details.
  2. Click Share. In the task bar, click Share. (If you are viewing Asset Details, click Share.) The Share Asset window appears.
  3. Choose recipients. In the Internal Share tab, Search by name and select one or more recipients.
  4. Add a message. In the text box, enter a message for the recipients.
    If you prefer to share the assets via other channels such as your organization's messaging app, copy the provided Internal Link and share it as needed.
  5. Click Send. The asset share link is emailed to the specified recipients. The email will include a link to the shared assets in Tenovos and your name.

Share assets externally

In the Share Asset dialog, use External Share to share assets with external users. You can either use the built-in email option to send the assets, or share the link through other channels, such as your organization's messaging app. The recipients you specifiy will receive an email with a download link and your name as the sender.

Note that this method shares a rendition of the original asset. To share the original asset, use the Transformations option.

To share one or more assets externally:

  1. Select the assets to share. Assets can be shared from the Content gallery, Collections, Searches, the Cart, and Asset Details.
  2. Click Share. In the task bar, click Share. (If you are viewing Asset Details, click Share.) The Share Asset window appears.
  3. Choose recipients. In the External Share tab, Search by name and select one or more recipients.
  4. (Optional.) Enter a file name for the ZIP file. The default name is download.zip.
  5. Add a message. In the text box, enter a message for the recipients.
    If you prefer to share the assets via other channels such as your organization's messaging app, copy the provided External Link and share it as needed.
  6. Click Send. The asset share link is emailed to the specified recipients. The email will include a download link to the shared assets and your name as the sender.

Embed an asset with HTML

In the Share Asset dialog, use Embed HTML to embed a rendition of a single asset into a website. Tenovos will generate the required HTML code for embedding. This option is only available when sharing a single asset.

To embed an asset with HTML:

  1. Select the asset to share. Assets can be shared from the Content gallery, Collections, Searches, the Cart, and Asset Details.
  2. Click Share. In the task bar, click Share. (If you are viewing Asset Details, click Share.) The Share Asset window appears.
  3. Click Copy Code. In the Embed HTML tab, click Copy Code.
  4. Paste the code into an HTML file.

Share collections

You can share links to collections and their assets with internal users—users with credentials to the system. For Shared collections, you can send a link to an entire collection or to selected assets in that collection. For Private collections, you can send a link to assets you select in that collection.

Collections can be shared with internal users via email. You can also copy the link in the email and share it through other channels such as your organization's messaging app.

Share saved searches

You can share your saved searches with other users via email or direct link. However, you cannot share searches created by other users that have been shared with you.

The results of a saved search will vary for each user based on their permissions and any changes to the assets in the Content gallery.

Share story boards

Sharing a story board invites internal or external users to join the story board. External users will need to create an account before they can access the story board.

To share a story board:

Share transformations

Transformations allow you to quickly create new assets in a pre-defined format from original assets. After transforming assets, you can share the transformed assets via email.

When working with large groups of assets, you may need to send the original asset along with—or instead of—other transformations. This can be done via the transformation feature as explained in Share an original asset via the transformations page.

Sharing original and transformed assets via email sends internal or external users a link to download a ZIP file containing the assets.
